1. What AthenaMi does
Decision governance for engagement evidence, alongside a client’s CRM and messaging tools.
Expand

AthenaMi provides a Verified Engagement Intelligence layer that evaluates when engagement signals are reliable enough to inform action. We operate alongside a client’s existing CRM and messaging tools. AthenaMi does not send client marketing campaigns.

2. Who this policy applies to
Organization users, respondents, and site visitors.
Expand

This policy applies to:

  • Organization users who create accounts or access an organization's workspace.
  • Respondents who participate in an assessment or other engagement activity associated with an organization's campaign.
  • Site visitors who browse our public pages.
3. Data we collect
Minimum necessary collection, campaign-scoped evidence, and operational metadata.
Collapse
A. Organization user account data
  • Contact details (such as name, email address) and authentication information.
  • Workspace and role membership data used to control access and prevent fraud.
  • Operational logs for security, auditability, and reliability of the service.
B. Respondent interaction (campaign-scoped)
  • Campaign identifiers and link interaction events used to verify engagement.
  • Assessment responses submitted by the respondent (when provided).
  • Technical metadata needed for security and integrity (timestamps, device/browser signals, anti-abuse indicators).

AthenaMi is designed to avoid collecting unnecessary personal identifiers from respondents. Organizations control what they include in outbound messaging and campaign setup.

C. Payment and reward metadata

AthenaMi supports organization funding and respondent reward workflows. We record transaction metadata needed to administer funding, rewards, platform fees, and related account activity. Payment and payout processing is provided through third-party payment providers. AthenaMi is not a bank or deposit institution.

D. Website analytics

We may collect limited usage analytics to understand site performance and improve reliability. We aim to keep analytics minimal.

4. How we use data
Operate, secure, verify, govern admissibility, prevent abuse, and support auditability.
Expand

We use data to:

  • Operate and secure the service.
  • Verify engagement events and compute evidence strength at the campaign level.
  • Apply governance rules that determine what is shown, what is withheld, and why.
  • Prevent abuse, fraud, and duplicate reward claims.
  • Support customer operations, troubleshooting, and auditability.
5. Organization roles and responsibilities
Organizations control their outreach, campaign content, targeting, and respondent relationships. AthenaMi governs evidence admissibility and readiness.
Expand

AthenaMi is designed to support organizations as they run their own outreach and campaigns. Organizations control campaign content, targeting, and respondent relationships. AthenaMi’s role is to govern the admissibility of engagement evidence and present decision-grade outputs when thresholds are met.

6. Sharing and disclosure
No sale of individual respondent data; limited sharing for operation, organization delivery, and legal requirements.
Expand

We do not publish or sell individual respondent data. We may share data:

  • With service providers that help us operate the platform (infrastructure, security, payment rails), under appropriate safeguards.
  • With the organization that operates the campaign, as part of the governed outputs and audit trail.
  • If required by law, or to protect the security and integrity of the service.
7. Retention
Retain only as needed for operations, security, audits, and legal/contract obligations.
Expand

We retain data only as long as needed for operational, security, and audit purposes, and as required by contractual or legal obligations. Retention may vary by data type and client configuration.

8. Security
Least privilege, access controls, monitoring, and layered safeguards.
Expand

We use administrative, technical, and organizational controls to protect data, including access controls, encryption where appropriate, monitoring, and least-privilege design. No method of transmission or storage is completely secure. AthenaMi uses layered technical and operational safeguards appropriate to the platform and the data it processes.

9. International use
Safeguards consistent with applicable law and contractual requirements.
Expand

If data is processed across borders, we use appropriate safeguards consistent with applicable law and contractual requirements.

10. Your choices and requests
Access, correction, deletion, and other privacy-related requests.
Expand

You may request access to, correction of, or deletion of personal information, subject to applicable law and any legal or operational requirements that may apply.

Organization users may update certain account information through their workspace. For other privacy or data-related requests, contact privacy@athenami.com.
